Receiving a refrigerated shipment is part of the production plan. Before your shiitake logs arrive, agree how the container will be unloaded, how the goods will be held and which batch instructions your team will follow.
Prepare before the container arrives
Confirm the expected arrival window with the logistics provider and arrange the people, unloading equipment and receiving space needed for the agreed pallet configuration. Keep the supplier’s packing list and batch identification available to the receiving team.
Ask for the current handling guide before delivery. It should clarify the agreed transport and holding conditions, the transition to the growing room and any batch-specific preparation. Plan the handover between the port, inland carrier and receiving site so responsibilities are clear.
Record the shipment condition
At arrival, compare the shipment identifiers and quantities with the documents. Photograph the container and accessible packaging before and during unloading, where it is safe and permitted to do so. Record visible packaging damage, displaced pallets or other exceptions, and retain available temperature records.
If something appears unusual, contact the supplier with the batch number, photographs and relevant transport records. These details help the parties assess the issue. Avoid making an immediate conclusion about the entire batch from a single photograph or appearance alone.
Follow the batch instructions
Move the logs into the agreed receiving conditions and follow the supplier’s instructions for the next stage. Do not substitute a general online procedure for the guidance supplied with your batch, especially for opening bags, hydration or the timing of fruiting preparation.

Keep a simple receiving record
- Arrival date, batch number and shipment reference.
- Received quantity and any discrepancy against the packing list.
- Photographs and available temperature records.
- Unloading and transfer times, plus any unusual event.
- Questions raised with the supplier and the agreed next steps.
